Communicating in Tough Situations You open an e-mail message that suddenly triggers your adrenaline and propels you into a defensive mode. To help reduce your chances of doing or saying something you might later regret, consider adding these strategies to your inventory: GIVE YOURSELF TIME TO COOL DOWN. If you dash off a quick response in the heat of the moment, you are likely to make a mistake or say exactly the wrong thing. Breathe deeply before you start to explain why you are right and the other person is wrong. Even better — ask for time to research the facts. PUT YOURSELF IN THE OTHER PERSON’S PLACE. Never rush to assume sinister or ulterior motives. Think what the other person may be thinking. Pledge never to answer a surprising e-mail or voice message until the next day if possible, or even later. You will react in a more positive way after you have had time to consider the message and shape a response. CONNECT WITH THE OTHER PERSON. Don’t hide behind technology. Instead of sending an e-mail or leaving a voice message, contact the person by telephone or in person to discuss the issue. LOOK IN THE MIRROR. You will not agree with everyone all the time.
